1. How your team spends its week
Hours per week spent by one typical person on your team.
Emails, proposals, product descriptions, blog posts, reports.
Invoicing, data entry, filing, spreadsheets, chasing receipts.
Answering questions, support replies, quotes, follow-up calls.
Posts, captions, ad copy, newsletters, review responses.
Booking appointments, reminders, calendar Tetris, no-show chases.
What an hour of your (or your staff's) time is worth.
What you'd pay per month for AI tools (e.g. a chatbot plan + a writing tool + an automation tool). Subtracted from your savings.
Advanced assumptions — how much of each task AI can take over
These percentages are our conservative assumptions, not research findings. Move them if you disagree — that's the honest way to do this.

How we calculate this (the full recipe)
No black box. Here's every step, in plain English:
- For each of the 5 task categories, we take your hours-per-week for one typical team member and multiply by the automatable % — our conservative assumption of how much of that task AI tools can realistically take over (writing 40%, admin 35%, customer messages 30%, marketing 35%, scheduling 50%). Adjustable above under "Advanced assumptions." Our assumption
- We convert weekly hours to monthly hours with
× 4.33(average weeks per month: 52 ÷ 12). Math - We scale up by team size — but cap the effective team at
10. Larger teams see diminishing returns per person, so this keeps big-team estimates conservative instead of ballooning. Our assumption - Gross monthly savings = hours saved × your hourly cost. That hourly figure is whatever an hour of your or your staff's time is worth to you — we make no claim about any particular wage. Your input
- We subtract the AI tool stack cost (default $97/mo) to get
net monthly savings, then
× 12for the annual projection. Your input - Every money figure is shown as a range of ±25% around the computed value. AI adoption varies wildly by business — a single "you'll save $8,432!" number would be dishonest. Our guardrail
What we deliberately do not do: quote "studies show X% productivity gains" as fact, assume 100% adoption on day one, or ignore the cost of the tools themselves. If your numbers look too good to be true, lower the automatable percentages — the calculator is a thinking tool, not a sales pitch.
